1. Overview & Who We Are
SpeakEasy Pro ("we", "our", "us") is an AI-powered English speaking practice application developed and operated independently by SchoolTools, based in India. SpeakEasy Pro is a standalone application — it is separate from and not connected to the SchoolTools ERP (school management software). This Privacy Policy applies only to the SpeakEasy Pro app and covers how we collect, use, store, and protect personal information when you use it.
By creating an account or using SpeakEasy Pro, you (and, where applicable, a parent or guardian on behalf of a child) agree to this Privacy Policy.
🔒 Our Core Privacy Commitment
SpeakEasy Pro is built on an on-device-first architecture. Your voice audio is never sent to our servers. All speech recognition and text-to-speech runs on your device. We process only anonymized text transcripts for AI feedback.
2. Children's Privacy (COPPA & DPDP Act)
⚠️ Important Notice for Parents & Guardians
SpeakEasy Pro is designed for use by children (ages 6+) and adults. If your child is under 13, a parent or guardian MUST create and manage the account. We do not knowingly allow children under 13 to register independently.
2.1 Compliance with COPPA (USA)
We comply with the Children's Online Privacy Protection Act (COPPA). For users identified as children (under 13):
- Account registration requires a parent or guardian's email address or Google account.
- We collect only the minimum data necessary: child's first name, school class/grade, and city. Nothing more.
- We do not collect the child's full name, date of birth, address, or phone number.
- We do not show behavioural advertising to children.
- We do not share children's data with third parties for marketing purposes.
- Parents may review, update, or delete their child's data at any time by contacting us.
- Voice input is processed entirely on-device — no audio is stored on our servers.
2.2 Compliance with DPDP Act 2023 (India)
We comply with India's Digital Personal Data Protection Act, 2023. For child profiles:
- Verifiable Parental Consent: The account is created under a parent's/guardian's Firebase Auth account. The child profile is a sub-profile within the parent account.
- Data Minimisation: We collect only what is necessary for app functionality.
- Purpose Limitation: Child data is used only for personalising the learning experience within SpeakEasy Pro — never for profiling or advertising.
- Right to Erasure: Parents can request deletion of all child data. See Section 9.
2.3 Content Safety for Children
Our AI coach "Sparky" is programmed with strict content guardrails:
- Only discusses approved topics: school, family, hobbies, nature, food, Indian festivals.
- Hard-blocked from discussing: adult content, violence, politics, religion, or any inappropriate topics.
- Age-adaptive language: children under 8 receive extremely simple, playful responses.
- Correction style is always gentle, never harsh or discouraging.

🎙️ Voice & Audio: We Never Store It
SpeakEasy Pro uses your device's built-in microphone via the browser's Web Speech API or Android's native speech recognition. Audio is converted to text on your device. We only receive the resulting text transcript. No audio bytes are ever transmitted to or stored on our servers.
4. How We Use Your Data
- Personalised Learning: Your name, class, and progress tailor AI conversations to your level.
- AI Feedback: Text transcripts are sent to Google Gemini AI (via Firebase Functions) to generate fluency feedback. Transcripts are not stored permanently; they are discarded after the session report is generated.
- Progress Tracking: Session scores, streaks, and completed modules are stored in Firestore to show your history and motivate continued learning.
- Subscription Management: Subscription status is verified to control access to Pro features.
- App Improvement: Anonymous, aggregated usage data helps us improve curriculum and features.
We do not use your data for advertising, profiling, or selling to third parties.
5. AI & Voice Features
SpeakEasy Pro uses Google Gemini 2.5 Flash (via Firebase Cloud Functions) for AI conversation and feedback. When you complete a speaking practice:
- Your device converts your speech to text (on-device, no audio sent).
- The text transcript is sent securely to our Firebase Cloud Function.
- Our function sends the text to Google Gemini API with a structured prompt.
- Gemini returns an AI response and fluency feedback in JSON format.
- The session transcript is used to generate your report, then discarded — it is not permanently stored in Gemini's systems by us.
Google's data processing is governed by Google's Privacy Policy and the Google Cloud Data Processing Addendum.
6. Data Sharing & Third Parties
We share data only with these service providers, strictly for operating the app:

We do not sell your personal data. We do not share data with advertisers, data brokers, or any third party not listed above.
We may disclose data if required by Indian law, a court order, or to protect the safety of our users.
7. Data Storage & Security
- Location: Data is stored on Google Cloud servers. Our primary region is
asia-south1 (Mumbai, India), keeping Indian user data within India.
- Encryption: All data is encrypted in transit (TLS 1.3) and at rest (Google-managed AES-256 keys).
- Access Control: Firestore Security Rules ensure users can only access their own data. Admin access is limited to authorised SchoolTools personnel.
- Authentication: We use Firebase Authentication with industry-standard OAuth 2.0 for Google Sign-In.
8. Data Retention
- Active accounts: Data is retained as long as your account exists.
- Session transcripts: Discarded within 24 hours after report generation.
- Session reports & scores: Retained for 12 months, then automatically purged.
- Account deletion: All data permanently deleted within 30 days of account deletion request.
9. Your Rights
Under the DPDP Act 2023 (India) and applicable laws, you have the right to:
- Access: Request a copy of your personal data.
- Correction: Update incorrect or incomplete data via the app's profile settings.
- Erasure: Request deletion of your account and all associated data.
- Portability: Request your data in a machine-readable format.
- Withdrawal of Consent: Stop using the app and request data deletion at any time.
For parents: You may review, correct, or delete your child's profile data by contacting us at schooltoolsapps@gmail.com. We will respond within 30 days.
How to Delete Your Account

- Include your registered email address.
- We will confirm deletion within 30 days.
10. Subscriptions & Payments
SpeakEasy Pro offers a free trial and paid subscription plans:
- 5-Day Trial: ₹9 introductory price for the first 5 days.
- Monthly Plan: ₹299/month, auto-renewing.
- Annual Plan: Best value yearly plan.
All payments are processed securely through Google Play Billing. We never see or store your credit/debit card details. Payment disputes and refunds are handled through the Google Play Store.
To cancel a subscription, go to Google Play → Subscriptions → SpeakEasy Pro → Cancel.
11. Changes to This Policy
We may update this Privacy Policy to reflect changes in our practices or legal requirements. We will notify you of material changes by:
- Displaying a notice within the SpeakEasy Pro app on your next login.
- Updating the "Last Updated" date at the top of this page.
Continued use of SpeakEasy Pro after changes constitutes acceptance of the revised policy.
